Add and manage all your company vehicles in one place. The Vehicles module appears as a standalone section under the main navigation in ToolWorks, where users can:

• Add new vehicles with details like make, model, registration, and VIN

• Monitor which tools are currently assigned to each vehicle

Each vehicle becomes a live, traceable asset, complete with full history and audit trail.

🧰 Designate Vehicles as Tool Carriers

Many businesses use service trucks and vans as mobile tool depots. ToolWorks makes this seamless with the Tool Carrier option.

When enabled, this setting allows you to:

• Assign tools directly to a vehicle
• View all tools currently stored or checked out to that vehicle
• Track transfers between vehicles and job sites

Tool Carrier vehicles appear in tool assignment lists, allowing fast and transparent tracking of tools in the field.

Assign a specific operator to each vehicle to establish clear accountability. Operators can be any ToolWorks user, drivers, field techs, or service crew members, linked to one or more vehicles.

You can quickly view which vehicles each operator manages, and vice versa, ensuring both tools and vehicles remain properly tracked and maintained.

🔧 Maintenance Tracking & Cost Control

ToolWorks already helps teams manage preventive maintenance schedules and manual mileage/hour logs, and now these extend to vehicles too.

For every vehicle, you can:

• Schedule recurring or one-time maintenance tasks
• Log maintenance activities, including date, cost, and notes
• Track total maintenance spending per vehicle
• Attach photos or service documents for reference

Over time, these insights help you understand total ownership cost and identify high-maintenance vehicles.

🪄 Convert Existing Equipment to Vehicles (Wizard)

To make adoption easy, ToolWorks includes a conversion wizard that lets you turn existing equipment into vehicles.

If your organization previously tracked trucks or vans under the Equipment module, simply run the wizard to migrate those records. The wizard preserves your existing data, adds vehicle-specific fields (like registration, operator, and VIN), and automatically classifies the asset as a vehicle.

No need to start over, your data transitions smoothly.

Get Started with Vehicle Management

The Vehicle module is available now for all ToolWorks users. To start tracking vehicles:

1. Go to the Vehicles module in the main menu.
2. Click Add Vehicle to create a new record or use the Convert to Vehicle wizard for existing equipment.
3. Assign an operator and enable the Tool Carrier option (if applicable).
4. Start assigning tools, logging mileage, and tracking maintenance costs, all from one place.
